The Carbon Literacy Trust Payment Terms and Conditions

Thank you for choosing The Carbon Literacy Trust. Your support directly contributes to our charitable mission, enabling us to deliver accreditation services in line with The Carbon Literacy Standard.

This Payment Terms Policy outlines the conditions under which payments are expected and managed for all transactions with The Carbon Literacy Trust.

These terms and conditions are effective from 1 October 2026.

1. Scope

This policy applies to all clients and customers of The Carbon Literacy Trust (hereinafter referred to as “the Charity”) who engage in transactions for our services (hereinafter referred to as “the Client”).

By engaging in a transaction with the Charity, the Client acknowledges and agrees to abide by these Payment Terms and Conditions.

2. Invoice Issuance and Payment Terms

Invoices are issued upon order of services. For large orders, a deposit may be required before the commencement of work.

Payment is due within 30 days of the invoice date.

We reserve the right to adjust credit terms for clients with a history of late payments.

3. Payment Methods

Payment should be made by bank transfer using the account details provided on the invoice.

Payment may also be made by credit card on request. Credit card payments are subject to a transaction fee, which will be added to the invoice prior to payment.

4. International Payments

We currently accept payments in GBP, EUR, USD and AUD.

The Client is responsible for covering any overseas transaction fees, including any currency conversion fees or international banking charges that may apply.

5. Billing Errors

If a billing error is identified, the Client should contact the Charity immediately at [email protected]. Any overpayment or underpayment will be corrected promptly, and a new invoice will be issued where applicable.

6. Late Payment Reminders

If payment is not received within 30 days of the invoice date, a reminder will be sent by email.  If the invoice remains unpaid for more than 60 days, a final reminder will be sent

7. Late Payment Fees

If payment is not received within 90 days of the invoice date, a late payment fee will be applied based on the thresholds set out below. These amounts reflect UK Government late payment legislation.

Statutory interest may also be applied to invoices that remain unpaid for 90 days, at Bank of England base rate plus 8%.

8. Withholding Services

Delivery of services will be halted if invoices remain unpaid for 90 days. This policy is enforced until all outstanding invoices are settled, preventing further purchases until previous invoices are fully paid.

9. Reduction of Credit Terms

Frequent late payment may result in a reduction in credit terms or the implementation of a “cash with order” policy. Continued non-compliance will result in the suspension of services.

10. Reporting to Credit Agencies

Late payments may be reported to credit agencies if not resolved promptly.

11. Legal Action

Persistent late payments may lead to legal action. This serves as a formal warning that legal proceedings could be initiated to recover the debt.

12. Refunds and Cancellations

12.1 Where an invoice has been issued but not paid, the Client may request cancellation of the invoice within [14] days of the invoice date. The Client remains liable for the full amount unless the Charity agrees in writing to cancel the invoice.

12.2 Once an invoice has been issued and payment has been made, no refunds will be given.

12.3 Where a client has paid for a service and no longer wishes to utilise it, the Charity may, at its sole discretion allow the Client to:

(a)exchange the service for one or more other service(s) of an equivalent value, or
(b)transfer or donate the service to another organisation.

13. Expiry of services

13.1 Unless otherwise stated in writing, from 1 October 2026 all unused services shall expire on the date 3 (three) years after the date of the relevant invoice (the “Expiry Date”).

13.2 After the Expiry Date, the Client shall no longer be entitled to use the Service.

13.3 In exceptional circumstances and at the sole discretion of the Charity, the Expiry Date may be extended but only by written agreement of the Charity. Any such extension may be subject to additional fees or conditions.

14. Change to Payment Terms

These terms are regularly reviewed to ensure they are aligned with best practice and fit for purpose.

The Carbon Literacy Trust reserves the right to amend these Payment Terms at any time. Changes will be communicated to clients in advance.
